Controlling access to indexes

How to define which users have access to an index.

Index access rights Note:

Index access rights

In Index Manager Settings, open the Access list tab for the relevant index. The default setting is to Allow everyone access.

However, if you would like to specify access, you can do so by selecting Specify access and selecting +Add. A Search directory opens where you can search for users and/or groups and give them access. Start entering a user or group name to initiate a predictive search.

Whether authentication is local or Active Directory-based is determined by the setting selected in Operations Center Settings. For more information, see Configuring client and server authentication.

Note:

  1. If you choose to allow everyone access, users will still be required to authenticate when connecting to the index. They need to enter any valid username/password on the server or the domain, depending on the type of authentication chosen in Operations Center Settings. If you would like to remove authentication, you can choose to allow everyone access on the index level and then enable anonymous guest access globally on the Index Manager server. For more information, see Allowing unauthenticated users to access indexes.
  2. Because a client only stores one set of user credentials per server, you cannot configure the client (for example, FotoWeb or FotoStation) to connect to two different indexes on the same Index Manager server using different credentials. As a consequence, indexes with access restrictions need to be configured with at least one common user account that the client can use to authenticate when requesting access.

Example: If Allow anonymous guest access is enabled globally, and one index has been configured to Allow everyone while another index on the server has a specific access list set, the client will not be able to connect to both since they need two sets of access credentials to get to the indexes (guest access for one and a specific user for the other).
